Costco New Supplier Onboarding: What Brands Should Expect After the Buyer Says Yes

Costco new supplier onboarding is where many promising brands lose momentum. The buyer meeting goes well, the product is interesting, and then comes a stack of paperwork, audits and systems that nobody warned the founder about. Knowing the sequence ahead of time is the difference between a three-month setup and a stalled one.
Today is October 24, 2026. This guide pulls together what two supplier-focused sources report about getting started with Costco. They do not agree on everything, and neither is a Costco document, so we flag the gaps.
A note on sources. The first is a 2026 article from SPS Commerce, a company that sells EDI services (no author or publication date shown). The second is a guide by Oscar Guerrero, published September 29, 2024, with a displayed update of August 14, 2026. Neither cites a Costco policy document for most specifics, and neither gives a Costco timeline. Confirm everything with your buyer.
There Is No Public Application Portal
Both sources say the path begins with a person. The SPS article says relationships usually start with a Costco buyer through a trade show, a referral or outreach to a division office. The Guerrero guide says Costco does not publish a single application that applies to every supplier, and points to Costco’s Vendor Inquiries page. As reported there, food and sundry suppliers contact regional or division offices (the regions listed are Northwest, Northern California, Los Angeles, San Diego, Texas, Midwest, Northeast and Southeast), while non-food suppliers contact the corporate office. A separate Supplier Inclusion intake form exists for qualifying U.S.-owned small and diverse suppliers, and completing it does not guarantee a partnership.
What Onboarding Usually Includes
According to the SPS article, onboarding usually involves:
A detailed vendor profile.
Product samples for testing.
Business licensing.
Insurance and compliance paperwork.
Third-party facility audits for food and consumables.
The same article says Costco weighs product quality, cost competitiveness, operational scalability and fit with its curated assortment. The Guerrero guide adds that onboarding may involve item setup, product identifiers, logistics labels, purchase-order workflows and invoicing, without giving specifics.
Neither source describes the contents of a Costco new item form, so we will not either. Ask your buyer what you need to submit.
The Purchase Order Rules Reported
The SPS article lists several rules once orders begin:
No shipment should go out without a Costco purchase order. Verbal or informal buyer approval is not a contract.
Each PO is a separate contract, not a standing commitment to reorder.
Costco does not accept price changes after a PO is issued, so cost negotiations must happen before the PO.
You must confirm receipt of a PO, and notify Costco within two business days if you cannot fulfill it.
The EDI invoice is due the day the shipment goes out.
POs, invoices and bills of lading must include the Costco PO number, full supplier number, item numbers and descriptions, and actual scale weight.
Shipments arriving more than two days early may be rejected, and late shipments may be rejected or canceled unless Costco approves in writing.
These come from one article without a Costco citation, so verify them in your supplier agreement.
A Source Conflict on EDI
The SPS article says all suppliers must use EDI for orders, invoices and shipping communications. The Guerrero guide says EDI is not mandatory for all suppliers and that technical requirements should be confirmed during onboarding. The SPS article comes from a company that sells EDI services, so weigh it accordingly. The practical answer is to ask your Costco contact in writing, and to budget for EDI setup time until you hear otherwise.
Our earlier guide on EDI compliance covers the transaction sets.
Your Costco New Supplier Onboarding Checklist
Confirm your route: the correct food, sundry or non-food office.
Build a vendor profile with company details, products, capacity and contacts.
Line up samples and know your lead time for producing them.
Gather licenses and insurance certificates. Our insurance requirements guide covers what to ask your broker.
Schedule your facility audit early for food and consumables.
Ask about EDI and your item setup forms in writing.
Confirm your pallet and labeling plan before the first order.
Settle your cost before the PO, since it cannot change afterward.
Do not ship without a PO in hand.
Put dates on a shared timeline with your buyer so nothing sits waiting.
Common Onboarding Mistakes
Treating a verbal yes as an order.
Starting the audit after the buyer is ready.
Quoting a cost that will not hold for a full PO cycle.
Assuming EDI is optional or required without checking.
Missing the early and late delivery windows.
Leaving paperwork with one person who is also running production.
Why This Is a Brand Strategy Issue
Onboarding sets the tone for the relationship. A brand that arrives with its documents, audit and costs in order looks like a supplier Costco can rely on. A brand that scrambles looks like risk. The preparation is also where a fractional brand manager earns the fee, because the work is spread across packaging, finance, operations and sales.
